I. Series Overview

 

A. General Information

1. Definition

A series is a group of separate items which have their own distinctive titles but are issued with a collective title, or series title, that applies to the group as a whole. This group of related items is called a series. A series is often identified as a "series" on the item. The series statement is the transcription of the series title in the catalog record.

2. Identification

Any item may be published as part of one or more series; that is, there may be statements of one, two, or more distinct series in one item. When this is the case, each series is transcribed in a separate series statement. The following is a list of clues to the presence of a series.

  • Common words and their equivalents in other languages such as those listed below help to identify a series statement and to distinguish it from other title information.

  • A series statement may be an acronym or initials and, in this case, is usually followed by a number (e.g., SP-23, TT 34).

  • A single number on the spine or cover of a book that is not part of a set may indicate series numbering. When this is the case, thoroughly examine the book for a series title printed elsewhere.

  • A statement of "general editor" or " series editor" may indicate the presence of a series.

  • The word "lecture" associated with a personal name and some indication that the lecture is repeated periodically (such as a date), is a clue to the presence of a named lecture series.
3. Tracing Logic

The series is recorded in fields 4XX, 8XX and sometimes 500. The proper use of these fields requires an understanding of the distinctions between series statements, untraced series, traced series, series traced the same and series traced differently. Other terms used in connection with series are series heading, series tracing and series added entry (these three terms mean the same thing). The distinctions among these concepts are partially explained by the difference between the description of a cataloged item and access to the item.

Description of an item generally requires adherence to the content and form of information found on the item being cataloged. For the purpose of access, however, catalogers select one uniform way of representing series information which appears inconsistently from item to item within a particular series.

a. Series Statement

The way that the series is named on the book itself is called a series statement. It is transcribed verbatim as part of the description of that particular item. Series statements are recorded in fields 490 and 440 [440 is now obsolete but still appears in copy].

b. Untraced Series

A series statement to which access is not provided is called an untraced series. Older cataloging records often have untraced series. For an untraced series there is a record in LCAF (i.e., Library of Congress Authority File) with the decision "No series", but an approved heading is not "established" for the purposes of access. When variant forms of untraced series appear, a separate series decision is made for each variant form. Untraced series are recorded in field 490 with indicator one value 0.

**The current practice is to trace (to provide access through an approved heading) virtually all series.

c. Series Heading/Series Added Entry

The series heading is also commonly referred to as a series added entry or series tracing. It is the approved form of a series that a cataloger establishes in order to provide consistent access to a series title. The series heading is used in all bibliographic records for items in that series no matter what the series statement on each item might say.

d. Traced Series

A series for which a series heading has been established in LCAF for the purposes of access is called a traced series. Series may be traced in the same form as they appear on the item or in a different form. [When a series is traced, printouts provided by Serials Acquisitions staff say "Series as a.e.".]

e. Series Traced the Same

When the series heading matches the series statement exactly, the series is traced the same. To be traced the same, no qualification or rearrangement of elements can be done to the series title. A series traced the same is always entered in a 490/8XX combination of fields. [An obsolete practice was to use field 440, which may still appear in copy.]

f. Series Traced Differently

When the series statement found in the item does not match the established series heading, we say that the series is traced differently. When this is the case, the record contains the series statement in field 490 with indicator one value 1 and the series heading is recorded in an 8XX field. Series traced differently occur most often for the following reasons:

i. Publisher expresses the series title in an inconsistent manner from one volume to the next

When a publisher issues the series in an inconsistent manner from one volume to the next, one form of the series is chosen by catalogers as the uniform form, or heading, for that series. In this way, all volumes of the series will be accessible under a single title in the database regardless of which title variation appears in the item. This way, users will not have to know or search for all the variations of a series title.

ii. Two or more series with the same title

When there are two or more different series with the same title, catalogers add a qualifying term or phrase that will distinguish one series from the other(s). Usually this phrase is the place of publication.

Series title: Open doors (published by an architectural organization in Tucson, Arizona)

Series title: Open doors (published by a psychologists association in New York, NY)

The series headings in this case would be established as:

Open doors (Tucson, AZ)
Open doors (New York, NY)
iii. Series entered under author

When the series must be established under a personal or corporate name, the name is given in its established form with the series entered in a title subfield |t.

g. Not a Series

A series-like phrase which is truly not a series is often given the decision in LCAF of "Not a series". LCAF may also include information such as "Give as quoted 500 note" or "Give as quoted 500 note if the information does not appear in the imprint".

4. The Relationship Between the Authority File, the Series Statement and the Series Heading

The Authority File contains a record of cataloging or tracing decisions made for series in The CAT. It shows the series title and whether catalogers have chosen to trace the series as it appears on the item or to trace it differently. Through cross references, it links various forms of a series statement to the uniform title established for that series and also shows when earlier and later forms of a series are both valid. The decision to treat the statement as something other than a series (i.e., Not a series) is also recorded.

For each series encountered in processing, a record of the Authority File decision must be made. The tagging of the series in a CAT record is reflective of the Authority File decision.

Series titles that are traced in the same form as the series statement are recorded in a 490/8XX field combination. [An obsolete practice was to use the 440 field, which may still appear in copy.]

When the series is traced differently, the series statement in the description of the item is the actual text of the series title as taken from the book itself and is recorded in the 490 field with indicator one value 1. The series heading is recorded in fields 800, 810, 811 or 830 as appropriate.

Untraced series appear in the Authority File with code "n" in the 645 - the decision for No series. In this case, the cataloger has decided not to trace (or establish a series heading) for the series at all. The series statement is recorded in the 490 field with indicator one value 0.

Series that have yet to be established in the Authority File are recorded in the 490 field with indicator one value 0 and referred. The CAT record is later updated by an original cataloger handling the referral to reflect the series decision once that decision has been made.

The series heading must be input into The CAT in the exact form and numbering style that appears in the Authority File. The series statement must be input into The CAT exactly as it appears on the item (with a few exceptions which are described in 490). The table below will help you to determine how to enter the series.

Current catalogers need to have a clear understanding of series handling, in particular knowing that the series statement (490 or 440 [obsolete]) in a record reflects the EXACT WAY the series appears in the book. Series which are traced with a parenthetical qualifier that has been added by a cataloger, such as "(New York)" must be input into an 830 field. It is incorrect to enter any series with a parenthetical qualifier as a 440 [obsolete practice] or 490 field because that form of the series simlply does not appear on the book.

II. 490 Series Statement

 

A. General Information

1. Definition

The 490 field contains the series statement transcribed from the item. This field is used when the series is not traced and when the series is traced in a form which is different from that which appears on the item.

2. Source of Information

The source of information for the series statement consists of the following in order of priority from top to bottom. When the series statement appears in varying forms on the item, use this list in priority order to select the chief source.

  • Series title page

    The series title page is at the beginning rather than the end of the item and is devoted solely to the series or to the series and the title of the item. It usually, but not always, contains the statement of responsibility for the series, numbering, publisher, etc. It may contain a listing of other items in the series. Not every item with a series has a series title page.

    Note: A series statement that appears on a label or is stamped on the item is to be treated as if it were printed. Do not make a note about a label or stamp.

  • Title Page

  • Cover

  • Caption, Masthead, Editorial pages

  • Colophon

  • Other preliminaries (Excluding preface and text of the item)

  • Series statement embedded in the text within the preliminaries or colophon

    Extract the series statement from the text and record according to general rules.

  • Series statement embedded in the text within the preface or body of the item

    Ignore the series statement.

  • Series appearing only on the dust jacket

    If a series which appears only on the dust jacket of an item is established in the Authority File, record it in field 490 in square brackets.

    If the series has not been established in the Authority File, ignore it entirely at both minimum and full level processing.

  • Series appearing only in the CIP (cataloging in publication) data

    Do not consider the CIP data a source for the series statement. If this is the only place that a series appears on the item, disregard the series entirely.
3. Indicators and Subfields

Indicator one is used to indicate whether the series is traced differently or not. When indicator one is 0, no corresponding 8XX is present. When indicator one is 1, a corresponding 8XX is present.

4. Punctuation vs. Subfield Codes
  • When the first indicator is "0", subfield coding is required.
  • When the first indicator is "1", subfield coding in 490 is optional and may be replaced with ISBD punctuation.

    • Precede numbering within a series or subseries by " ; "
    • Precede the title of a subseries by ". "
    • Precede a statement of responsibility by " / "
    • Separate subseries designation and subseries with ", "
    • Precede each parallel title by " = "

B. 490|a -- Series Title

Record the title of a series as it appears in the item, exactly as to wording, order, diacritical marks, and spelling, but not necessarily as to capitalization.

Capitalize the first word of a series title. Rules for transcribing the series title are the same as the rules for 245 Title Proper.

Initial articles may be transcribed in the series statement even though there is no non-filing indicator.

In this example, the series is traced the same as the way the series statement appears on the item, so the contents of the 490/830 will be the same.

Note: An obsolete practice was to record the series statement in field 440 in this type of situation. 440s may still appear in older records.

 

C. Series Subtitle or Remainder of Title

When the series statement appears on the item with a remainder of title, omit the remainder of title from the description.

D. 490|v -- Series Numbering/Subseries Numbering and 490|x ISSN

Record the series numbering following the series title.

Give the numbering of the series in the terms given on the item.

Abbreviate numbering designations using standard abbreviations given in AACR2 Appendix B (see Roman alphabet abbreviations at Princeton University site). When an abbreviation is not given on the list, use the full word.

Replace spelled-out numbers and Roman numerals with Arabic numerals.

Spacing

Always leave a space between the volume designation and the number, e.g., "v. 5".

Leave a single space when only the beginning or ending volume number or date is given.

Variations in designation

If the volume designation varies within the series (e.g., "v. 3" vs. "no. 6") and the Authority File indicates that only one of these designations should be used in a series added entry, use the designation on the piece in subfield |v of a 490 field with first indicator value "1"; add an 8XX field using the designation in the Authority File in subfield |v. The variation should be noted in the Authority File.

If the series is not traced ("no series" in Authority File), record the designation on the piece in subfield |v of a 490 field with first indicator value "0". The variation should be added to the Authority File.

Non-consecutive series numbers

When volumes in a set bear non-consecutive numbers within a series, use a single 490 field. Give ranges of consecutive numbers separated by a hyphen (e.g., "v. 1-5").

Separate non-consecutive numbers by a semicolon (e.g., "v. 1-3; v. 6")

490|x ISSN

A |x subfield containing an International Standard Serial Number (ISSN) may appear in the 490 field preceding the |v in copy. We currently accept it in copy, but do not input it.

E. 490 -- Number and Name of Part/Section of a Work (Subseries and Subseries Designation)

A subseries is a series within a series, that is, a series that always appears in conjunction with another more general series. The series title and subseries title are recorded in a single series statement. Be careful not to treat a series subtitle or remainder of title as a subseries. |n and |p are not valid in the 490 field, so only ISBD punctuation is used when they are present.d

Transcribe the title of the main series first.
(|a), followed by its numbering (|v). Then record the title of the subseries preceded by a period, without using a subfield code.

A subseries may have its own numbering which is preceded by a semi-colon.

Subseries designation is defined as an indication of sequencing in any form, e.g., "Part 1 Supplement A, Book 2, New Series".

Subseries designation - Form of entry

  • Capitalize the first word.
  • Do not convert roman to arabic numerals.
  • Do not convert spelled out ordinal numbers to arabic numerals (e.g., Terza serie - not 3. Serie)
  • Do not abbreviate volume designators or other words

The following two examples show a main series with two different subseries designations and two different subseries titles.

A main series may have subseries designation without a subseries title.

  • Subseries designation and series numbering present without subseries title:

    Give both the subseries designation and the series numbering in a single subfield |v. Use numbering and abbreviation rules for subfield |v.

    Give the subseries designation only, preceded by a period.

F. Non-Distinctive, or, Generic Series Statement

Consider a series statement to be non-distinctive if it refers only to the type of publication rather than to the subject matter (e.g., report, publication, research monographs, technical papers, occasional paper, working paper series, etc.).

When the series statement consists of a general, non-distinct word or phrase such as "publication", a statement of responsibility is added to the series statement preceded by "[space]/[space]". This aids in distinguishing the series from others with the same series title. The statement of responsibility is never added to series statements which have distinctive titles.

The statement of responsibility may be a personal author or a corporate body. Responsibility for the series is often given on the series title page and is often a corporate or scholarly body. A corporate body at head of title or a non-commercial publisher may also qualify as a statement of responsibility for a series. This is determined from information on the item. A series editor or commercial publisher are never transcribed as a statement of responsibility for a series.

G. Series-Like Phrase

Series-like phrases may be essentially the same as the name of the issuing body or the name of a sub-imprint of a publishing firm. They may also be the name of an editor or officer of the firm, etc.

A series decision will be made for all series-like phrases. Based on the type of series-like phrase, the Authority File may instruct you to treat a series-like phrase as a quoted 500 note, as a series, or to ignore the phrase if it also appears in the imprint. If a record has not been established in the Authority File for a series-like phrase, treat as a 490 0 or as part of t he imprint based on the information provided in the item. When in doubt, record as a 490. A series decision will be made at full level processing.

 

H. Groups of Letters and Numbers

Groups of letters with or without numbers may constitute a series. Always check letter/number codes in the Authority File. When a series decision is not available (0-Authority File), use your best judgment to enter a 490 or to omit the phrase from the description.

Transcribe phrases which may be series statements in 490. Those which may be a series but look more like a publisher's code such as copyright registration numbers, stock numbers, etc. should be omitted from the description of the item. When in doubt, record alpha/numeric phrases as series statements in the MLP record since the 490 field is an access point in The CAT.

I. Parallel Titles

If a series title appears in two or more languages or scripts, transcribe all parallel titles appearing on the chief source.

If the title proper and the first parallel title are in nonroman scripts and no title is in English, give as the second parallel title the one that is (in order of preference) in French, German, Spanish, Latin, any other roman alphabet language.

When some information on the source is shared among parallel statements, give the parallel statements followed by the shared information.

J. Lecture Series

When there is reference to a named lecture in a series statement, in the title, or in a note area of the verso or other source, treat the named lecture as a series. Named lectures will usually have on the item numbering or dates that can be used as series numbering. Published lectures of individuals which are most likely one-time events are not considered to be lecture series.

A lecture series may be given as part of the title field. When this is the case and the series statement does not also appear elsewhere, a 4XX field is not used. The series heading is given in the appropriate 8XX field when present in the Authority File.

K. Occasional Issues of Serials with Distinctive Titles

When the item in hand contains information indicating that it is a special issue of a serial, but it has a unique title, the serial title will usually be treated as a series. The Authority File, if a record is present, will provide instructions. If no record is present in the Authority File, include the statement in the description as a 490 or 500 note. The item will be referred to an original cataloger where a decision will be made.

III. 440 Series Statement

 

A. General Information

Please note that the 440 is obsolete and should no longer be used in newer records. A 490/830 (or other 8XX field) should be used, instead. However, since 440s continue to appear in older records, trainees will continue to be informed about them.

1. Definition

The 440 field contains a series title alone. The 440 is both a series statement and a series heading. This field is used when the series statement on the item exactly matches the series heading in the Authority File. Therefore, a series heading with parenthetical qualification cannot be tagged as a 440 since the parenthetical qualification is added by a cataloger and does not appear on the item.

B. 440 -- Input Rules

The series statement found on the item must match the series heading from LCAF in order for the series to be tagged as a 440.

Series Subtitle

Series subtitles are not considered when determining whether the series statement and LCAF match because series subtitles are disregarded in transcription. If you suspect part of a series statement to be a subtitle, do not include it in your LCAF search. The presence or absence of initial articles does not constitute a non-matching situation since field 440 has a non-filing indicator in the second position. The series statement should be recorded in the 440 regardless of whether the initial article appears in the corresponding LCAF record. The series statement may be entered in the 440 with or without the initial article.

IV. 830 Series Heading

 

A. General Information

1. Definition

The 830 field contains a series heading in the form of a title. This field is used when the traced form of the series is different from the corresponding series statement. There are two main reasons for tracing a series differently than the way it appears in the item.

  • The series appears in various ways from item to item within the same series. The predominant or traced form is used as the series heading.
  • More than one series may exist with the same title. When this is the case, additional information, or, qualifying information, is added to the series heading to distinguish it from others with the same name.

When the 830 field is used, the series statement is recorded in the 490 field with indicator one value 1 and indicator two blank.

2. Source of Information

The series decision as recorded in the LCAF series record is the source of information used for recording the series heading in an 830 field.

When a numbered main series appears with a subseries, the main series is often traced alone with numbering. The subseries is also traced subordinately to the main series. The end result is one 490 with two corresponding 830s.

The 800 field contains an author/title series heading in which the author portion is a personal name. Since only titles may be entered in the 4XX fields, the 800 field is used to record series which are entered under a personal author. Often the title portion of the series heading will be given as a uniform title (i.e., Works, Selections).

The corresponding series statement is recorded as a title in field 490 with indicator one value 1 with or without a subsequent author statement.

2. Source of Information

The series decision as recorded in LCAF is the source of information used for recording the series heading in an 800 field.

3. Indicators and Subfields

Indicators:

1st indicator:      0 or 1 based on the type of personal name.

Note: The 811 field is rarely used under AACR2R cataloging rules. Use of the 811 will be found primarily in older pre-AACR2 cataloging.
