Choice of Entry, Main and/or Added

 

I. General Information

Choice of Entry for RDA Records

Accept the choice of 1XX in RDA records, including cases where there is no 1XX, unless it is obviously wrong (e.g., if the author named does not appear in the record, an editor is named that should be in a 7XX, etc.). Note that cataloger's judgment plays a more significant role in RDA cataloging, so access decisions may differ from record to record and still be equally valid.

In general, accept the decision concerning 7XX added entries. When not present in copy, but deemed important, 7XX may be added after searching the authority file for the correct heading. When a 7XX is deemed important, but not found in the Authority File, refer to have the name established.

When working with non-RDA copy, verify the choice of 1XX and 7XX according to the established guidelines described below.

 

A. Definitions

1. Personal Author

A personal author is the person chiefly responsible for the creation of the intellectual or artistic content of the work. This includes writers of books, compilers of bibliographies, composers of music, etc. Artists and photographers are also considered to be the authors of the works they create. Persons responsible for compiling, collecting, editing or translating the work of others are not considered to be personal authors.

2. Corporate Body

A corporate body is an organization or a group of people that is known by a particular name and that acts jointly. A corporate body can be responsible for the creation of the intellectual content of a work, and therefore can also be an author and chosen as the main entry for the work. Typical examples of corporate bodies are associations, institutions, business firms, nonprofit enterprises, governments, government agencies, projects, programs, religious bodies, local churches, and conferences.

 

B. Source of Information

The main entry is chosen from the information on the chief source or its substitute.

Added entries are also chosen from information on the chief source or its substitute but may also be chosen from information found in other preliminaries. Information is taken from other sources only when the information on the chief source or its substitute is ambiguous or insufficient. All added entries must be justified in the cataloging record. This justification may be in the form of information that appears in the title area, edition statement, publication area or in a note.

When the correct choices for the main and added entries have been determined, use the rules for Form of Entry to determine the correct way of formatting the headings.

 

C. Names of Personal Authors With Name of Institution

When an institution to which a personal author belongs is given with the author, make an access point for the personal author, but not for the institution.

II. Choice of Main Entry -- 1XX Fields

Listed below are the basic rules which are used to determine when the main entry for a work should be a personal author, corporate body or title. Within each of these sections are rules for choosing among several authors if more than one person or body is responsible for the work. Some special rules for cases that do not easily fit into these basic categories are included at the end of the section.

 

A. Personal Author -- 100 Field

RDA

1. One Author

Enter a work by a single personal author under the heading for that author.

2. Two or More Authors

When two or more personal authors are named on the source, enter the work under the first author. Make added entries for the other(s), within reason (cataloger's judgment).

AACR2

1. One Author

Enter a work by a single personal author under the heading for that author.

2. Two or Three Authors

When two or three personal authors are named on the source, enter the work under the first author. Make added entries for the other(s).

3. More Than Three Authors

When responsibility is shared among more than three persons and principal responsibility is not attributed to any, enter under title. Make an added entry under the heading for the first person named. When principal responsibility can be attributed to three or fewer authors, enter the work under the heading appropriate to that number of authors.

 

B. Corporate Author -- 110 Field

Enter a work emanating from one or more corporate bodies under the heading for the appropriate corporate body (main entry) if it falls into one or more of the following categories. When in doubt do not make the corporate body a main entry.

  1. Works of an administrative nature dealing with the corporate body itself, or its policies, procedures, finances or operations, or its officers, staff, and/or membership (e.g., directories), or its resources (e.g., catalogs, inventories)

    To belong to this category, the work must deal with the body itself. The words "administrative nature" indicate works dealing with the management or conduct of the affairs of the body itself. This includes works that describe the activities of the body in general terms or for a particular time (e.g., minutes of meetings, reports of activities).

    "Internal policy" is limited to policies formulated for the conduct of the affairs of the body itself. For works concerned with policies relating to topics of wider concern to a body, see category c.

  2. Some legal, governmental, and religious works of the following types: laws, administrative regulations, constitutions, court rules, treaties, court decisions, legislative hearings, religious laws, liturgical works.

  3. Works that record the collective thought of the body (e.g., reports of commissions, official statements of position on external policy).

    This category is best characterized by saying that it deals with those works that present official statements of the position of a body on matters other than the affairs of the body itself.

  4. Works that report the collective activity of a conference (e.g., proceedings, collected papers), of an expedition (e.g., results of exploration, investigation), or of an event (e.g., an exhibition, fair, festival)

    Art exhibitions are very seldom treated as a named event and do not usually fall into this category. They are usually given title main entry or, if they represent the holdings of a particular institution, are entered under that institution. When they represent the works of one artist, they may be entered under the artist.

RDA

1. One Corporate Body

If one corporate body is responsible for a work, enter the work under the heading for that corporate body.

2. Two or More Corporate Bodies

Enter a work under the first named or most prominently named corporate body when two or more corporate bodies share responsibility. Make added entries for the other(s), within reason (cataloger's judgment).

AACR2

1. One Corporate Body

If one corporate body is responsible for a work, enter the work under the heading for that corporate body.

2. Two or Three Corporate Bodies

Enter a work under the first named or most prominently named corporate body when two or three corporate bodies share responsibility. Make added entries for the corporate bodies.

3. More Than Three Corporate Bodies

When more than three corporate bodies share responsibility for a work, make the main entry under title, and an added entry for the first corporate body named.

 

C. Title Main Entry -- 245

Title main entry occurs when there is no 1XX field present because of one of the reasons listed below. When a work is entered under the title, 245 indicator one is set to 0.

Enter a work under its title when:

RDA

  • Personal authorship in unknown or cannot be determined
  • The corporate body does not meet the criteria for corporate authorship or cannot be determined.
  • Authorship is uncertain.

When you cannot determine who the author of a work is, either because it was not clearly stated or because the "group" had no collective name, enter it under title.

AACR2

  • Personal authorship in unknown, shared among more than three people, or cannot be determined
  • The corporate body does not meet the criteria for corporate authorship or cannot be determined.
  • The work is issued by more than three corporate bodies
  • Authorship is uncertain.

When you cannot determine who the author of a work is, either because it was not clearly stated or because the "group" had no collective name, enter it under title.

III. Choice of Added Entries -- 7XX Fields

Added entries provide access to the bibliographic description of a work supplementing the access provided by the main entry. Editors, collaborators, etc. which did not qualify as main entry, corporate sponsors and publishers are often given as added entries. Generally, an added entry is made for any person, corporate body, or title under which some users might logically think to look when trying to find the catalog record of a desired item. A list of guidelines is given below.

 

A. Personal Co-authors and Other Collaborators

RDA

Make added entries for the following situations:

  • Second (and subsequent) personal name(s) sharing authorship.
  • One, two or three editors or the first of four or more editors.
  • One, two or three other collaborators (excluding translators) or first of four or more performing the same function.
  • One, two or three editors or compilers of a collection, or for the first of four or more.

AACR2

Make added entries for the following situations:

  • Second (and third) personal name(s) sharing authorship.
  • One, two or three editors or the first of four or more editors.
  • One, two or three other collaborators (excluding translators) or first of four or more performing the same function.
  • One, two or three editors or compilers of a collection, or for the first of four or more.
  • First of four or more personal authors.
 

B. Corporate Bodies

RDA

Make corporate added entries for the following situations:

  • Second (and subsequent) named corporate body(s) sharing authorship.
  • Non-commercial publisher when it is the only possible added entry, or when it is clear that body is involved in more than publishing the item. Do not make added entries for distributors, manufacturers or commercial publishing houses.
  • Any corporate body appearing prominently on the item that is clearly involved in the intellectual content of the work. Sponsors and corporate names at head of title are likely added entries.

AACR2

Make corporate added entries for the following situations:

  • Second (and third) named corporate body(s) when three corporate bodies share authorship.
  • First of four or more corporate bodies sharing authorship.
  • Non-commercial publisher when it is the only possible added entry, or when it is clear that body is involved in more than publishing the item. Do not make added entries for distributors, manufacturers or commercial publishing houses.
  • Any corporate body appearing prominently on the item that is clearly involved in the intellectual content of the work. Sponsors and corporate names at head of title are likely added entries.
 

C. Titles

Added entries are recorded for alternate, parallel and variant titles as instructed in Bibliographic Processing Cataloging Rules -- 246.

 

D. Series

Series added entries are recorded as instructed in Bibliographic Processing Cataloging Rules -- Series.

IV. Collections

A collection is a group of independent works by one or more authors published together with or without a collective title.

 

A. With a Collective Title

1. Two or Three Works
a. Single Author

Make a main entry (100, 110) for the single author.

Enter the collective title as the title proper.

Give the individual titles in a contents note (505).

Make author/title added entries (700 |a/|t, 710 |a/|t) for each individual work.

Make added entries for up to three editors and/or compilers of the collection.

b. Two or More Authors

Enter the work under the author of the first work.

Give the collective title as the title proper.

Give the individual title/author statements in a contents note (505).

Make author/title added entries (700 |a/|t, 710 |a/|t) for each individual work or make 740(s) when authorship is unknown or uncertain. When authorship for an individual work is shared among two or three authors, give an author/title added entry for the first author.

Make added entries for up to three editors and/or compilers of the collection.

c. No Authors

Enter the collection under the collective title.

Give individual titles in a contents note (505).

Make title added entries (740) for each individual work.

Make added entries for up to three editors and/or compilers of the collection.

2. Four or More Titles
a. Single Author

Enter the single author as the main entry.

Enter the collective title as the title proper.

Do not make added entries for individual works.

Make added entries for up to three editors and/or compilers of the collection.

b. Two or More Authors or No Author

Enter the collection under the collective title.

Enter the collective title as the title proper.

Do not make added entries for individual works.

Make added entries for up to three editors and/or compilers of the collection.

B. Without Collective Title

1. Two or Three Works
a. Single Author

Make a main entry (100, 110) for the single author.

Give the title proper as instructed in Bibliographic Processing Cataloging Rules -- 245 Collections.

Make a "No collective title" 246 with indicator 3_. Include each title separated by semi-colons. No ending punctuation is needed.

Make author/title added entries (700 |a/|t, 710 |a/|t) for the second and third individual works.

Make added entries for up to three editors and/or compilers of the collection.

b. Two or More Authors

Enter the work under the author of the first work.

Give the title proper as instructed in Bibliographic Processing Cataloging Rules -- 245 Collections.

Make author/title added entries (700 |a/|t, 710 |a/|t) for the second and third works or make 740(s) when authorship is unknown or uncertain. When authorship for an individual work is shared among two or three authors, give an author/title added entries for the first author only.

Make added entries for up to three editors and/or compilers of the collection.

c. No Authors

Enter the work under the title proper.

Give the title proper as instructed in Bibliographic Processing Cataloging Rules -- 245 Collections.

Make a "No collective title" 246 with indicator 3_. Include each title separated by semi-colons. No ending punctuation is needed.

Make title added entries (740) for the second and third individual titles.

Make up to three added entries for editors and up to three other collaborators (by function) of the collection.

2. Four or More Titles
a. Single Author

Make a main entry (100, 110) for the single author.

Give the title proper as instructed in Bibliographic Processing Cataloging Rules -- 245 Collections.

Make a "No collective title" 246 with indicator 3_. Include each title separated by semi-colons. No ending punctuation is needed.

Do not make added entries for individual works.

Make added entries for up to three editors and/or compilers of the collection.

b. Two or More Authors or No Author

Enter the collection under the title proper.

Give the title proper as instructed in Bibliographic Processing Cataloging Rules -- 245 Collections.

Do not make added entries for individual authors or titles. Make added entries for up to three editors and/or compilers of the collection.

V. New Edition of a Previously Published Work

Enter an edition that has been revised, enlarged, updated, etc., under the heading for the original edition if the person or body responsible for the original is named in a statement of responsibility or in the title. Make an added entry under the heading for the reviser, etc. In case of doubt, make the more prominent name the main entry.

When the original author is no longer considered responsible, enter the work under the name of the person primarily responsible. Make an added entry for the original author (and title if known).

VI. Related Works (Supplements, etc.)

Apply this rule to separately cataloged works that have a relationship to another work, such as supplements, indexes. The titles of such works usually begins with: "Supplement to ...", "An index to ...", etc.

Enter a related work under its own heading (personal author, corporate body, or title) according to the appropriate rule for choice of entry. Make an added entry for the title or author/title of the work to which it is related.

100   1#   Ranking, John.

VII. Title

Make a title added entry (246 or 740) as instructed in 246 or 740.
