The following Secretarial Studies Courses are available:

 

  1. Office Administration (ICB)
  2.  

     

    An organisation’s office administrator coordinates the entire work system in an office.  You will keep files and records up to date and you will market a product or service.  You will need to keep things organised and structured, that will be your main job.  You will be at the centre of the company you work for, because you will have all the information people may ask for.

     

    You will also have to plan the outcomes and results that are needed from the employees so that they function efficiently.  Your human resources skills will also be essential, because you may need to lead a group of clerks and manage their work.  The size of the organisation you work for will determined what tasks you as office administrator will need to do but the general functions you will need to do will probably include overseeing office equipment, stock taking, procuring and budgeting for office supplies, filing documents, compiling progress reports, drafting correspondence for management, scheduling appointments, dealing with office queries, distributing payroll documents, employee orientation, etc.

     

    You can see that an Office Administrator’s job is not a simple one.  If you like working with people and organising an office or division in an organisation to run smoothly, you will benefit greatly from this course.  You can take the most basic course called the National Certificate and if you want to take a more advanced course, the Higher Certificate will be for you.  If you already have experience as an Office Administrator, you can take the Diploma course.

    College SA offers the following Professional Secretary Courses:

     

     

    The demand for competent administrative personnel is very big because they basically run the organisation and hold it together.  If you have this qualification you will be much more likely to get the job and you will have developed the skill you need to do you duties well.  You will even be specialised in an administrative field.  Because you will need to be able to do a whole lot of things in an administrative position, you will need to have many different characteristics or qualities to be successful secretarial jobs.

     

    These qualities include:

      • Taking the lead

      All the Executive Secretary courses are at Diploma level and you can choose to specialise in one of the seven fields (Finance, Human Resources, Legal, General, Marketing and Project   Management) just like in the Professional Secretary courses.  If you enrol for one these courses you will be required to complete the subject at certificate level before you can take the subject on Diploma level.  In other words, if you choose, for example, Finance, you will need to first do the Certificate level Finance course before you can do the Diploma level Finance course.

      Executive Secretaries are also called Executive Assistants, Administrative Assistants or Associates.  They have countless administrative duties.  If you choose to become an Executive Secretary, you will do more or less the same work as a Professional Secretary but your responsibilities will be so much more because you will work directly for the company’s CEO or Executive.

       

      The Legal Secretarial Courses will equip students to work in law firms and will provide an understanding of the legal system. It is crucial for Legal Secretaries to understand how the legal system works in order to function effectively in their jobs.

       

      You will need a varied set or qualities for the job of Executive Secretary.  You will need to be able to make decisions, implement new technology, take initiative, work with people, take the lead, keep an open mind, work under pressure, make sense out of chaotic situations, negotiate deals, participate in group discussions, set priorities, handle correspondence, keep files and records up to date, take minutes of a meeting, prepare documents, proofread, coordinate activities, etc.

       

       

       

      You will need all the qualities mentioned here to be successful in your chosen specialisation.  If you want to be an Executive Secretary in Finance, you will be required to create budgets, purchase stock, regulate a company's expenditure and do bookkeeping.  If you choose Human Resources, your skills in recruiting and management will come in handy.  You will learn how to screen applicants, how to test prospective employees and how to place the staff in an organisation.

       

      You can see that the difference between an Executive Secretary in Finance and in Human Resources is that in Finance you will focus on the financial side of an organisation while in Human Resources you will focus on company policies and the procedures by which employees are appointed and remunerated.

       

      If you want to specialise in Marketing, you will learn how to support the office in advertising and developing promotional information for the company.  You will need to be able to communicate effectively because you will be responsible for communicating with the company’s staff and clients.  You will need to know what the clients need and then you will need to make sure that the staff know how to make sure the clients’ needs are met.  This is the most important part of running a business.

       

      If you choose to specialise in Project Management, you will focus on managing the company’s projects.  You will have to be able to relate to Information Technology, Communication, Financial, Marketing and Human Resources.

      You can see that the difference between an Executive Secretary in Marketing and an Executive Secretary in Project Management is that in Marketing you will focus on advertising and promoting you company while in Project Management you will need to pay attention to the way in which all the projects in the organisation are run and coordinated.
